RMail Outlook Client/Reference Code Settings

This video will review the Outlook Client/Reference Code Settings in the RMail® App for Microsoft Outlook. The client or reference code feature allows the senders to tag an RMail® message with a specific client or reference code. This is typically used for filing, charge backs, or other workflow reasons.

The code is placed in two locations: its own row in the Registered Receipt email, listed under ‘Client Code:’, and its own column in detailed usage reports.
 

Step-by-Step Instructions

To view the settings, you have two options:

Option 1: From the inbox, press ‘File’, then ‘RMail Settings’.

Option 2: From the feature pop-up, press the ‘Settings’ button.

The Client/Reference Code feature settings include:

Enable Client Code: When checked, the ‘Client/Reference Code’ feature is available on the feature pop-up.

Add Client Code to end of email subject: When checked, it will add the client code to the end of the email subject.

Always require Client Code: This is typically used to add a client or reference code to the emails as part of a specific workflow. Note: From the feature pop-up, client or reference codes can be added to the email by simply typing them in to the ‘Client/Reference Code’ drop-down field. When they are used, they are automatically saved in a file and can be selected later from the drop-down. After it has been sent, the client code is remembered and saved.

From the RMail® settings, users can manage the client codes by highlighting them and removing them, or simply adding new ones by typing them in to the client code field. The client or reference codes are stored in a file and can be saved in any location including a shared drive.
